Expert Tips & Best Practices

1

Commit to "Hardcore Mumbler"

To get the most out of the platform, make Mumbler your single source of truth. Tell your staff and volunteers that all official communication will happen on the app, and actively discourage "side-channel" text messaging. When everyone buys in, communication becomes streamlined and nothing falls through the cracks.

2

Keep Your Channel Structure Simple but Functional

While everyone should be on the app, they don't all need their own dedicated channel. A good rule of thumb is to have no more than one channel for every 10 to 20 users. Create logical and broad roles based groupings such as Production & AV, Guest Experience, Logistics & Facilities, and Safety & First Aid.

3

Teach Your Leads to "Monitor"

Ensure your key personnel know how to use the Monitor feature so they can hear updates from multiple teams simultaneously without wasting time toggling between channels.

4

Close the Loop on Tasks

When an issue is reported, ensure your team knows to acknowledge it in the chat. A quick "Taking care of this" or a thumbs-up emoji prevents multiple staff members from duplicating efforts.

5

Bring Everyone Into the Fold (Early!)

Ensure every staff member and volunteer is invited to the app early. Start your onboarding process at least two weeks before the event and use the built-in invitation features to ensure everyone is logged in beforehand.

6

Dial in Your AI Newsfeed

For supervisors using the AI Newsfeed, finding the right balance is key. Past event producers recommend setting the AI priority filter to around 50% for a good balance of signal vs noise.

7

Manage the Noise in Quiet Zones

In quiet zones, remind staff to utilize the headphone-only setting for the Text-to-Speech feature to stay informed without disrupting the event.

8

Use Announcements for Engagement and Info

Don't just use Mumbler for emergencies; use the Broadcast features to keep energy high with periodic updates and shoutouts to your team.
